this policy explains how freedom to exist ltd ("we", "us", "our") handles personal data. we are a company registered in england and wales under company number 09332334, registered office 31 Sixth Avenue, W10 4HB. for the purposes of UK data protection law, we are the data controller for the personal data described in section 1, and a data processor for the personal data described in section 2.

1. data we collect about you (our clients)
when you enquire, buy from us, or work with us, we collect:
- your name and contact details (email, and any details you give us)
- your company details
- payment information (handled by our payment processor - we do not store full card details)
- records of our correspondence and the services you've bought
why: to provide our services, take payment, keep records, and communicate with you about your order.
legal basis: performing our contract with you, and our legitimate interest in running and improving our business.
2. data inside the files you send us (your customers' data)
to produce your report, you send us an export of your store's order data. this typically includes personal data about your customers - names, email addresses, order history and purchase values.
for this data:
- you are the data controller - it is your customers' data, collected by you under your own privacy policy.
- we are the data processor - we handle it only on your instructions, only to produce and support your report.
we do not contact your customers, market to them, or use their data for any purpose other than producing your report.
3. how long we keep data
- your client data (section 1): we keep for as long as you are a client and for [a period - e.g. 6 years for tax and accounting records, confirm with your accountant], then delete it.
- the files you send us (section 2): we keep only as long as we need to produce and support your report, and delete within 30 days of delivering it. if you book a further audit, we keep it for that work and delete within 30 days of delivering the final report.
4. where your data is stored
we store data using Dropbox, which may process data on servers inside or outside the UK. where data is transferred outside the UK, we rely on the safeguards those providers have in place.
5. who we share data with
we do not sell your data or your customers' data. we share data only with:
- service providers who help us run the business (for example our payment processor, file storage and accounting software), under their own data protection obligations
- authorities, where we are required to by law
6. security
we take reasonable measures to protect data, including restricting access, using reputable storage providers, and deleting data we no longer need. no system is completely secure, but we work to protect the data you trust us with.
7. your rights
under UK data protection law you have rights over your personal data, including the right to access it, correct it, delete it, restrict or object to our use of it, and to data portability. to exercise any of these, contact us at hello@freedomtoexist.com
if the request concerns your customers' data (section 2), we will refer the request to you as the controller, since that data belongs to you.
you also have the right to complain to the Information Commissioner's Office (ico.org.uk).
8. cookies and the website
our website uses cookies and similar technologies to make the site work, to keep it secure, and to understand how visitors use it.
essential cookies. these are needed for the site to function - for example, keeping the site secure and remembering your actions as you move between pages. these are set automatically and the site can't work properly without them.
analytics cookies. we use Google Analytics (GA4) to understand how visitors find and use our site, so we can improve it. these cookies are only set if you accept them. Google Analytics collects information such as the pages you visit, how long you spend on the site, and roughly where you're visiting from. this information is processed by Google on our behalf - you can read how Google handles it in Google's own privacy policy.
we also use Shopify, our website platform, which sets some essential cookies on our behalf. you can find more detail in Shopify's own privacy and cookie information.
your choices. when you first visit, you'll see a cookie banner asking whether you accept non-essential cookies, including analytics. you can accept or decline, and you can change your choice at any time by reopening the banner. declining won't stop you using the site. you can also block or delete cookies through your browser settings, though some parts of the site may not work as well.
